Job Title: Administrative Officer

Place of Service: Dakar, (Senegal)

Type of appointment: Special short-term Non-rated 3 months (extendable)

Established in 1951, IOM is an affiliate of the United Nations and, as the lead UN agency in the field of migration, works closely with governmental, intergovernmental and non-governmental partners. IOM is dedicated to promoting humane and orderly migration for the benefit of all. It does this by providing services and advice to governments and migrants.

Context:

Under the overall supervision of the Resource Management Officer and the direct supervision of the Human Resources Officer in close coordination with the Human Resources Assistant, the incumbent will be responsible for performing administrative and clerical tasks in the IOM mission in Senegal.

Essential Functions/Responsibilities: In particular, the incumbent will:

  1. Create and maintain an orderly filing system – both electronic and paper;
  2. Performs administrative duties such as copying, binding, scanning, etc.
  3. Assisting in contacting all shortlisted candidates for interviews, sending invitations to Ms. teams and distributing the interview schedule, ensuring that all interview related materials are available,
  4. Administer a practical skills test when required.
  5. Maintain records of schedules and prepare monthly reports on staff attendance in the office;
  6. Assistance in planning logistics for trainings, seminars and meetings;
  7. Provide general administrative support to the Resource Management team
  8. Perform any other related task that may be assigned.

Required Qualifications

• Bachelor’s degree in administration or related field from a recognized institution with one year of relevant administrative experience or • High school diploma with at least three years of relevant professional experience

Skills

• Solid computer skills including MS Office packages (Office, excel, Power point, outlook) internet and e-mail

• Personal commitment, efficiency and results orientation.

• Strong administrative and organizational skills with strict attention to detail.

• Ability to work in a strictly confidential manner

• Strong interpersonal skills and ability to work as part of a diverse team.

• Flexible and able to adapt quickly to new, different environments

• Strong interpersonal and cross-cultural skills with proven ability to work effectively and harmoniously with a diverse team.

Languages
